You can manage a customer's detailed profile and status, write memos, or assign a person in charge. For team plans (Hub), even if a member does not have general customer lookup permissions, they can still view the detailed information of a customer if they are assigned as that customer's person in charge.
On the customer details screen, you can check the information entered directly or the details of the application form submitted by the customer. You can also perform the following functions:
Edit Information: You can change information via the Edit button on the right side of the customer's name.
Send Smart Text: You can instantly send text messages from the details screen, limited to customers with a registered mobile phone number.
More Details Menu Functions: * Download Profile: Saves the customer's profile information as a PDF file.
Set/Release Dormant Status: You can set a customer to dormant status or reactivate a customer who is currently dormant.
Delete: All of the customer's data (profile, logs, documents, files, and settlement history) will be deleted and cannot be recovered. However, the customer's previously registered schedule records themselves will remain in the system as proof for payroll settlement. In Hub plans, only members with full customer editing permissions can delete a customer.
You can record and manage key details using the Memo button located under the customer's name. Written memos can also be checked directly from the customer list, providing a generous input limit of up to 1,000 characters.
In the Hub membership workspace, you can assign a person in charge for each customer. You can directly designate or change the person in charge within the customer's profile information. Clicking on the assigned person's name will take you to their detailed information screen.
Required Checkpoints When Changing the Person in Charge:
Once the person in charge is changed, the previous person in charge will no longer be able to view the customer's logs, documents, etc. Before proceeding with the change, ensure that the customer, the previous person, and the newly appointed person have been sufficiently informed.
After changing the person in charge, you must double-check whether the upcoming future schedules conflict with the newly assigned person's work schedule and ensure everything can proceed normally.
You can view all past and upcoming future schedules with the customer. The reservation status automatically transitions or can be manually changed into 4 stages over time:
Scheduled: The point in time before the schedule has started.
In Progress: The status where the schedule start time has passed but has not yet ended. When the start time arrives, the system automatically transitions the status to In Progress.
Completed: The point in time after the schedule's end time has passed. Once the end time passes, it automatically transitions to Completed status.
Canceled: The status used to change the designation when a schedule cannot proceed. You can process a cancellation via the More menu on the right side of the schedule details screen.
Add Schedule: You can instantly register a new schedule with the customer by utilizing the Add Schedule button on the right side of the list. Selecting a specific schedule opens a pop-up with detailed settlement and participation information.
Delete Schedule: Selecting Delete Schedule from the More menu will remove the record. Note that if a log has been written for that schedule, the log will be deleted along with it.
Schedule Deletion: Deleting a schedule will also remove any settlement and payment history linked to that schedule from the system.
Retaining Settlement Data: To keep past settlement and outstanding balance records intact without deleting them, you must not delete the schedule. Instead, make sure to change the status using the Cancel Schedule feature.
